How it works

Five steps from the administrator's consent to the first email with the right signature.
Nothing is installed on anyone's machine, and there is no server to set up.

What you need before you start

Three things most organisations already have.

A Microsoft 365 environment with Outlook
Global administrator access, to approve the add-in once
Users in Entra Id — the ones you already manage

Everything else happens in the browser: the Microsoft 365 admin centre and the EpicRegards Portal.

Five steps to a signature on every mailbox

  1. Approve the add-in once

The Outlook add-in is uploaded to your Microsoft 365 tenant, and you consent to it once as an administrator. You decide whether it is deployed to the whole organisation or to a single group. There is no per-user installation, and employees created later get it on their own.

  2. Connect to Microsoft Entra Id once

EpicRegards is connected to your Entra Id, so users and their details — name, job title, phone number and department — come from the directory you already maintain. That, too, is consent you give once. After it, there is no second user list to keep up to date.

  3. Synchronise one or more groups automatically

Pick the groups that should come across — a single department or the whole organisation. The sync keeps them current on its own: a new employee added to the group in Entra Id turns up in EpicRegards as well. On top of those you can build rule-based groups, everyone at one location or with a given job title, for instance. You may synchronise up to the number of users your subscription covers.

  4. Design signatures and campaigns

Templates are built in the browser editor: logo, fonts, colours and layout. Fields such as name, job title, phone number and department are filled in from Entra Id, so one template serves many users without anyone editing it by hand. If a campaign is going out, the banner is created in the same place and scheduled with a start and end date, with impressions and clicks counted while it runs.

  5. Assign them using groups

Signatures and campaigns are assigned to the groups rather than to people one by one. A priority order decides which signature wins when someone belongs to several groups, and an individual can still be given one of their own. Change an assignment and it applies from the next email.

It is now there in Outlook — everywhere

The signature follows the user, not the machine. Windows, Mac, the web, iPhone, iPad and Android all get the same one — and the employee has nothing to install and nothing to set up.

What it looks like day to day

A new colleague starts

They are created in Entra Id and land in the right group. The signature is in place from their first email — nobody has to be asked to set it up.

The address changes

Edit the template once. Every mailbox it is assigned to sends the new version from then on, on every Outlook platform.

A campaign ends

The banner comes down on the date you set it to. The signature underneath it stays exactly as it was.
