Synchronise users from your existing Microsoft Entra Id directory to the
Portal.
How to set it up
Go to:
Portal > Settings > Azure / Entra Id > Connect to Entra ID
Sign in with a Global Administrator and approve our App Registration.
Go to:
Portal > Settings > Sync > Start Sync
Pick one or more groups whose users should be synchronised to the Portal.

- Turn on automatic synchronisation from Entra Id.

You edit in one place and the change applies from the next email — it all happens automatically.
The add-in is assigned once in your tenant and rolls out to the assigned users by itself. Nothing is installed on individual devices, and end users do not have to do anything. It works in Outlook on Windows, Mac, web, iPhone, iPad and Android, and the signature follows the user rather than the device.
Go to:
Portal > Settings > Outlook Add-in > Download manifest.xml
Download the manifest.xml file.
Go to:
Microsoft 365 admin center > Settings > Integrated Apps > Upload custom apps
Upload it and choose who should have the Outlook Web Add-In deployed.
Set the fonts, colours, logo and layout.
Pick the fields — name, title, address, phone, department and so on. They fill themselves in for every employee.
Separate signatures are available for:
- New mail
- Reply
- Forward
and legal text or a confidentiality notice goes in one place, so it reads the same for everyone who needs it.
A campaign banner sits under the signature and can be scheduled with a start and end date, so the campaign only shows during the period you choose.
Assign the campaign to one or more groups.
Follow impressions and clicks on the Portal's statistics page.
Follow a campaign while it is running, instead of waiting for a report afterwards.
The Portal's statistics page shows:
- impressions and clicks per campaign
- the breakdown by team and by individual employee
- a comparison between periods
The figures update as you go, so a banner that is not working can be swapped out while the campaign is still live.
Upload logos and campaign images straight into the Portal. You do not have to put the image files on a web server of your own first and point at them from there.
Uploaded images can be used in both places:
- logos in the signature template
- banners in campaigns
Images are served from our CDN, so they load quickly for the recipient, wherever the email is opened.
A group is built on fields from Microsoft Entra Id, so it maintains itself: a new employee lands in the right group the day their profile is created, and if a colleague changes department, the signature changes with them.
For example:
Department equals Sales
Sales get their own template and their own campaign banners, and nobody has to maintain a list of who works in sales.Jobtitle contains Manager
Everyone with Manager in their title gets the same signature — including whoever is promoted next week.Office location equals Aarhus
The address in the signature follows the office instead of being the same for the whole company.
You can also use the groups you already have in Entra Id, or assemble a group by hand for a one-off campaign.
Individual employees can have a signature of their own.
Create a group such as:
Email equals [email protected]
This group will only ever contain that one user.
If a user belongs to several groups, you can use the priority order when assigning the signature.

Create Groups
Organise your users into groups and control exactly who gets which signature and campaign. Build groups from Microsoft Entra Id — department, location or job title — so new employees land in the right place automatically, or assemble a group manually for a one-off campaign. A user can belong to several groups, and changes take effect immediately.
Assign Signatures
Attach a signature to the groups that should use it and let the rest run by itself. Sales can have their own template, support another, and the executive team a third — without anyone touching Outlook. Priority order decides which one wins when a user belongs to several groups, so you always know which signature ends up in the inbox. Change an assignment and it applies from the next email.
